Job Description
Our Hamilton-based client is seeking a highly motivated and experienced Administrative Manager to join their rapidly growing medical-focused team. This is an exciting opportunity for a proactive professional to pioneer and shape a new role that combines elements of HR, office management, and administration. This role offers the chance to make a meaningful impact by building out and defining a new position that blends HR, office management, and administrative leadership. You’ll be responsible for creating structure where it doesn’t yet exist—developing policies, improving processes, and ensuring smooth day-to-day operations. Beyond administration, you’ll play a key role in people management, from onboarding and benefits administration to coordinating performance reviews and fostering team cohesion. Working closely with leadership, you’ll troubleshoot challenges, implement solutions, and help scale operations to support rapid growth—all while creating a positive, collaborative work environment.

- Oversee office administration, including space planning and acting as liaison for landlord and IT support.
- Manage HR functions: benefits, onboarding/offboarding, recruitment coordination, and team events.
- Coordinate annual reviews and day-to-day people management (timesheets, vacation approvals).
- Review payables, order supplies, and manage medical-related purchases.
- Maintain office safety compliance (evacuation plans, SDS sheets, first aid kits).
- Develop and update policies and procedures to support growth.
- Identify gaps, implement solutions, and foster team cohesion.
- 3+ years of experience in a standalone HR Generalist role
- 3+ years of experience with office management, preferably in a medical environment
- Strong leadership and operational skills, calm under pressure, and the ability to build team cohesion and manage change effectively
- Excellent troubleshooting and decision-making skills
- Adaptability and comfort with risk, change, and instability. A proactive approach to building out the scope of their own role based on operational gaps.
- Preference for experience in a medical facility.
