Job Description

A respected organization in the Hamilton Area is seeking a dedicated Information Management Specialist to join their Finance and Business Services team. This is a unique opportunity to play a foundational role in transforming how information is managed across the company. You’ll lead the development of a clean, standardized document management system, work closely with cross-functional teams, and help drive efficiency and clarity throughout the organization.

Responsibilities:
  • Lead the reorganization of the company’s document storage system, creating a clean and structured “single source of truth”
  • Standardize naming conventions and document structures across departments
  • Evaluate and recommend document management software, including mobile-friendly options for field staff
  • Maintain and update manuals, procedures, and policies in collaboration with department leaders
  • Work closely with the Management System Coordinator to integrate documentation needs into new processes
  • Engage with employees across all levels to ensure adoption of new practices
  • Visit field sites to observe current practices and recommend improvements
Qualifications:
  • 5+ years of experience in document management
  • Exceptional interpersonal and communication skills
  • Experience managing engineering drawings, manuals, procedures, and policies
  • Diploma or certificate in records and information management preferred, but equivalent experience considered
  • Strategic mindset with a strong grasp of foundational systems
  • Familiarity with server-based file systems and document management platforms (e.g., SharePoint)
