Job Description


Our client, a Burlington-based boutique investment firm, is seeking a capable and detail-oriented Administrator to join their team. This role, which is 100% in-office, is well-suited to administrative-focused professional who is self-directed, resourceful, and comfortable working independently in a professional office environment. This position is designed to strengthen the firm’s investment administration function and serve as a key support and back-up to an established fund administrator. You will play an important role in ensuring accuracy, maintaining high service standards, and supporting the firm’s investment operations.

Responsibilities:
  • Assist in the preparation, review, and tracking of investment documentation, including subscription agreements, investor on-boarding materials, and internal approval processes.
  • Coordinate collection and verification of investor information and maintain accurate records and internal systems.
  • Assist in the preparation of regulatory filings and ensure they are completed in a timely manner.
  • Be the initial point of contact for advisor-related enquiries and providing information relating to funds, portfolios, prices, distributions, and fund dealing procedures.
  • Support the investments, finance, sales and operations teams within the firm with fund operational matters.
  • Assist leadership and administration with various tasks, including documentation, data entry, and other assigned duties.
  • Prepare and track expense reports and reconcile receipts.
  • Support internal events and team activities (e.g., staff gatherings, client meetings).
  • Ensure office facilities and common areas remain clean, organized, and well-stocked.
Qualifications:
  • 2+ years in an administrative role, preferably within a finance, investment, or accounting context
  • Technologically savvy with a strong working knowledge of Microsoft Office, particularly Excel (ability to manipulate data, review reports, and work confidently within spreadsheets)
  • Highly detail-oriented, organized, and reliable
  • Comfortable working independently and taking initiative to solve problems with minimal oversight. A confident, self-sufficient working style combined with the drive to learn and grow.
